This policy explains what personal information Micha Kelly Fitness collects through this website, why we collect it, who we share it with and the rights you have. We keep it short and plain on purpose. If anything is unclear, email micha@michakellyfitness.co.uk.
Who we are
Micha Kelly, trading as Micha Kelly Fitness, runs an online coaching and personal training business based in London, UK. For the purposes of UK data protection law we are the controller of the personal information described in this policy.

Information we collect
- Enquiries. When you use the contact form we collect your name, email address, your message and, if you choose to give them, your phone number and your goals.
- Free downloads. When you request a guide or other download we collect your name, email address and, optionally, your phone number, along with a record of which downloads you asked for.
- Coaching clients. If you become a client we hold the contact details, payment records and coaching information needed to deliver your programme.
- Emails we send. We keep a record of the emails sent to you and whether you have unsubscribed.
- Technical information. Your IP address is used briefly to protect our forms from spam and abuse. We also collect anonymous, aggregated statistics about how the site is used. These statistics do not use cookies and do not identify you.
- Advertising information. Only if you accept advertising cookies, Meta receives information about the pages you view on this site and the fact that you sent an enquiry or requested a download, but never what you typed. See our cookie policy for details.
Health information. You do not need to give us health information to make an enquiry. If you choose to tell us about your health, injuries or medical history, we use it only to respond to you and to coach you safely, and only with your explicit consent, which you can withdraw at any time.
How we use it and our lawful basis
- Replying to enquiries and arranging calls. Lawful basis: taking steps at your request before entering a contract, and our legitimate interest in responding to people who contact us.
- Delivering coaching and taking payment. Lawful basis: performance of our contract with you.
- Sending your download and follow up emails with tips and offers. Lawful basis: your consent, given when you submit the download form. Every email has an unsubscribe link.
- Keeping the site secure and understanding how it is used. Lawful basis: our legitimate interest in running a safe, working website.
- Measuring and showing adverts through Meta. Lawful basis: your consent, given through the cookie banner.
- Keeping business records such as invoices. Lawful basis: our legal obligations.
Who we share it with
We never sell your information. We share it only with the service providers that help us run the business, and only as far as they need it:
- Vercel hosts this website and provides our cookie free analytics.
- Upstash stores download requests and the short lived records used to prevent spam.
- Resend delivers our emails.
- Our CRM provider (LeadConnector) holds contact details for enquiries and download requests so we can follow up.
- Stripe processes client payments. We never see or store your full card details.
- Our online coaching platform hosts call bookings, applications and client programmes. Links to it open a separate site with its own privacy policy.
- Meta Platforms (Facebook and Instagram), only if you accept advertising cookies.
We may also share information where the law requires it. Some video pages embed players from YouTube, Vimeo or Google Drive, which may collect information under their own policies when you visit those pages.
Transfers outside the UK
Some of these providers are based in, or use servers in, the United States and other countries. Where your information is transferred outside the UK we rely on safeguards recognised under UK data protection law, such as UK adequacy regulations or standard contractual clauses with the UK addendum.
How long we keep it
- Enquiries: for as long as it takes to deal with your enquiry and any follow up, then deleted when no longer needed.
- Download and email list details: until you unsubscribe or ask us to delete them.
- Client records: for the length of your coaching and afterwards only as long as needed for tax, legal and insurance purposes, which is normally six years for financial records.
- Spam prevention records: deleted automatically within 24 hours.

Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that is wrong
- ask us to delete your information
- ask us to restrict how we use it, or object to our use of it
- ask for your information in a portable format
- withdraw consent at any time, for example by unsubscribing from emails or changing your cookie choices using the Cookie settings link at the bottom of any page

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Children
This website and our coaching services are intended for adults. We do not knowingly collect information from anyone under 18.
Changes to this policy
We will update this page when the way we use personal information changes. The date at the top shows when it was last revised.
